Description:Provides administrative and secretarial support. In addition to typing, filing, scheduling, performs duties such as financial record keeping, payroll, coordination of meetings and conferences, obtaining supplies, working on special projects. Also, answers non-routine correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize diversified workload.
Duties:1. Schedules and organizes complex activities such as meetings, travel, conferences, and departmental activities.
2. Establishes, develops, maintains, and updates filing system for the department. Retrieves information from files when needed.
3. Organizes and prioritizes large volumes of information and calls. Sorts and distributes the mail. Opens mail. Drafts written responses or replies by phone or email when necessary. Responds to regularly occurring requests for information. Answers phones and takes messages when necessary.
4. Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Qualifications:1. Must have knowledge of secretarial, office administrative procedures, and knowledge of use and operation of standard office equipment.
2. Must have extensive knowledge and application of a variety of computer software applications in word processing, spreadsheets, database, and presentation software.
3. Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact, and diplomacy.
4. Some analytical ability is required in order to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
5. Work requires continual attention to detail in composing, typing, and proofing material, establishing priorities and meeting deadlines.
6. Associate degree in business and secretarial studies or a high school diploma with extensive experience.
7. A general knowledge of banking operations.
